October Meeting FRANKLIN COUNTY AGRICULTURAL SOCIETY
MINUTES OF REGULAR BOARD MEETING OCTOBER 20, 2009
President Dick McDermitt called the regular October meeting of the Franklin County Agricultural Society to order on October 20, 2009 at 7:00PM in the Secretaries Office on the Fairgrounds.
Roll call showed 14 members present. Those present were Becky Applegett, Jeff Ball, Rachel Bausch, Melissa Brinkerhoff, David Brobst, Dan Conkright, Emily Gabriel, Roy Hoffman, Jim Krebs, Dick McDermitt, Allison Rushley, Barb Rushley, Tim Shade, and Dick Witteman. Natasha Hupp attended with Beth Boomershine Extension Educator. P J Peters from the Junior Fair Board was present. Kendall Shonkwiler an Ag Society member attended. Butch Siedle representing the City Of Hilliard was present. Dan Price and Linda Censkie from Antique Auto racing was in attendance. John Scott and Ken Masters from a BMX association also attended.
Butch Siedle presented the plan for the upgrade of Northwest Parkway and ask the Ag Society to donate the required land and provide right of way easements for sewers.
Dan Price and Linda Censkie gave a presentation on antique auto racing and ask that we consider hiring them as a two day entertainment act during our 2010 fair.
John Scott and Ken Masters requested renting the Burke Building during this winter to hold BMX racing events. They also discussed requirements for a BMX event during fair and building of a permanent BMX outside track.
Allison Rushley moved Krebs seconded that the September meeting minutes be approved as presented. Motion approved.
Treasurer’s report was presented by Treasurer David Brobst. Copy attached. Ball moved A Rushley seconded that we accept the Treasurer’s report. Motion carried.
B Rushley moved Conkright seconded that we pay all bills on hand. Motion carried.
Brobst ask that the Budget Committee meet November 11 at 7PM at Barb Rushley’s home.
SECRETARY REPORT:
None
COMMITTEE REPORTS:
Barb Rushley suggested Entertainment Committee members should attend the Ohio Festivals Convention. Conkright moved A Rushley seconded that we pay $30.00 fee for up to 5 people to attend convention. Motion approved.
PJ Peters said Junior Fair Board is going to hold a community service party as a Holidays event. Junior Fair supporters can specify with their Kroger Plus Shopping cards that the Junior Fair Board get a 5% rebate from sales.
A Rushley said we are going to apply for OFMA awards for newspaper add, web site, radio add, and TV add.
OLD BUSINESS:
Brobst moved that Kendal Shonkwiler be elected to the unexpired Board of Directors term open from resignation of Paul Schemrich. Ball seconded. Motion carried. Dick McDermitt swore Kendal in to office.
A Rushley moved Brinkerhoff seconded that we approve donation of land, creation of sewer easements and temporary easements for the Northwest Parkway project. Motion approved
Shade said that the new Manager of the Quarter Horse Congress is now on the job. He has reviewed the proposed plan to create a satellite Congress location at the Franklin County Fair Grounds and supports the proposal. A request for proposal (RFP) to hire a company to perform the required study should be mailed out shortly.
Shade said the group of people trying to form a Hilliard Community Foundation and build an arts/ community building on the fair ground are still working. They are near completion of the legal process of creating the foundation. Soon the Ag Society will need to review their Code of Regulations and then elect board members to sit on that board. Conkright moved to accept the report, Gabriel seconded. Motion approved.
NEW BUSINESS:
Shade presented an overview of the various initiatives on going in Hilliard currently. Advantage Hilliard, Hilliard of the Future, Destination Hilliard, Hilliard United.
Brobst moved Gabriel seconds that we approve a one year extension on the lease to purchase land with the Franklin County Commissioners. Motion approved.
Bard Rushley moved Bausch seconded that the 2010 fair be held Saturday July 17 through Saturday July 24, 2010 Motion approved
Hoffman Moved Shonkwiler seconded that we apply for all Ohio Stakes racing funds for 2010 races. Motion approved
Brobst moved A Rushley seconded that 2010 Society Membership fees be set at $25 per person. Motion approved
Allison Rushley moved Conkright seconded that Dean Ringle PE, PS be nominated as Our Loyal Fair Supporter for 2010. Motion approved
Bausch said any and all fair book changes should be turned in as soon as possible.
Krebs moved Ball seconded that we adjourn. Motion approved
