November Meeting FRANKLIN COUNTY AGRICULTURAL SOCIETY
MINUTES OF REGULAR MEETING NOVEMBER 17, 2009
President Dick McDermitt called the regular November meeting of the Franklin County Agricultural Society to order on November 17, 2009 at 7:00PM in the Secretary’s Office on the Fairgrounds.
Roll call showed 16 members present. Those present were Becky Applegett, Jeff Ball, Rachel Bausch, Brian Boggs, Melissa Brinkerhoff, David Brobst, Molly Davis, Emily Gabriel, Roy Hoffman, Jim Krebs, Dick McDermitt, Allison Rushley, Barb Rushley, Tim Shade, Bill Walton, and Dick Witteman. P J Peters Junior Fair Board President attended. Charles Buck and Phyllis Earnst were guests.
Bausch moved Krebs seconded that the October minutes be approved as submitted. Motion approved.
Treasurer’s report was presented by Treasurer David Brobst. Copy attached. Gabriel moved Allison Rushley seconded that we accept the Treasurer’s report. Motion carried.
Walton moved Ball seconded that we pay all bills on hand. Motion carried.
SECRETARIES REPORT:
Shade reported that Teresa McCabe had her hand surgery on November 9, and would be off for a while on disability. Winter RV storage is down slightly. Land transfer for Northwest Parkway is now complete. Maintenance crew has made extensive repairs to water system, repairing leaks and replacing hydrants.
Shade and McDermitt attended OFMA District 6 Presidents/ Secretaries meeting on November 5. All fairs reported a year similar to ours, had a couple of good strong days only to be clobbered by weather on a couple as well. Red book is to be revised eliminating requirements on how membership tickets may be sold. Legislation filed to suspend rules of camping permits during fair for fairs that have year around camping permits. Allison Rushley moved Witteman seconded to accept the Secretaries report. Motion approved.
COMMITTEE REPORTS:
Barb Rushley reported that Entertainment Committee would be meeting with George of Variety attractions on December 7. All harness races will be held on Sunday and there will be no other grandstand entertainment that day. Entertainment Committee attended the Ohio Festivals convention and got some ideas for entertainment. Barb reported that we applied for 5 OFMA communications awards.
Walton moved Allison Rushley seconded that we accept a contract for Direct Energy for $1800 to perform on last day of fair in entertainment tent. Motion carried. Bausch moved Boggs seconded to accept Barbs report. Motion approved.
Melissa reported Advertising Committee will be starting soon.
P J Peters reported for the Junior Fair Board, they approved a tee shirt design for Junior Fair tee shirts. FFA has rejoined the Junior Fair Board. Five Junior Fair Board members will be attending the OFMA Convention in January.
David Brobst presented a proposed 2010 Fair Budget as recommended by the fair budget committee. Boggs moved Ball seconded that we accept the proposal as our 2020 budget. Motion approved, copy of budget attached.
OLD BUSINESS:
Shade said the Request For Proposal concerning the feasibility study for the Quarter Horse venture had been issued. Responses are due by December 4.
The proposed Code of Conduct for the Hilliard Community Foundation was reviewed. Barb Rushley moved Walton seconded that the Franklin Co Agricultural Society accept the Code and when appropriate appoint Board members to serve on the Foundation Board of directors. Motion approved.
Shade and Brinkerhoff attend the Destination Hilliard meeting October 27. Both will attend the second meeting November 19. The mission of this group is to create a signature event for Hilliard and to provide event coordination and promotion of all public events held in Hilliard.
Walton moved , A Rushley seconded that we become OFMA members for 2010. Motion approved.
A Rushley moved Gabriel seconded that Tim Shade be the delegate Dick Witteman to be alternate delegate. Motion approved.
Boggs moved Ball seconded that we pay the hotel bill for Dick Witteman to attend the OFMA convention.
NEW BUSINESS:
Shade reported that Kendall Shonkwiler had requested that we considering adding a Junior fair Beef carcass class and a Beef rate of gain class. Jeff Ball will take this issue to the December Junior Fair Board meeting.
Shade requested that we consider raising entry fees for open class animals and drop Vet Fee as this was confusing for individuals that showed an animal in both Open and Junior Fair. Gabriel moved Allison Rushley seconded that we raise entry fees to $2.00 per animal for sheep, swine and goats and to $4.00 for dairy. Motion approved.
Allison Rushley moved Bausch seconded that we adjourn. Motion approved
