May Meeting MINUTES OF REGULAR MEETING MAY12, 2009
President Dick McDermitt called the regular May meeting of the Franklin County Agricultural Society to order on May 12, 2009 at 7:00PM in the Secretary’s Office on the Fairgrounds.
Roll call showed 13 members present. Those present were Becky Applegett, Rachel Bausch, David Brobst, Dan Conkright, Molly Davis, Emily Gabriel, Jim Krebs, Dick McDermitt, Allison Rushley, Barb Rushley, Paul Schemrich, Tim Shade, Bill Walton; Beth Boomershine Extension Educator was present. Melissa Brinkerhoff was a guest. Elizabeth Hirth representing the Junior Fair Board and Ashley Hull representing Franklin County 4-H Teen Council attended.
Allison Rushley moved Krebs seconded that the April minutes be approved as submitted. Motion approved.
Treasurer’s report was presented by Treasurer David Brobst. Copy attached. Gabriel moved Walton seconded that we accept the Treasurer’s report. Motion carried.
Schemrich moved Walton seconded that we pay all bills on hand. Motion carried.
SECRETARY’S REPORT:
Secretary Shade reported we accepted title to a 1978 Itasca camper and a 1966 Larson boat in lieu of back storage fees. Both vehicles are junk value only. New air compressor approved several meetings prior has been purchased. Brobst move Bausch seconded that the Secretaries report be accepted. Motion carried.
COMMITTEES:
Barb Rushley presented a handout showing financials for fair entertainment expenses. Entertainment schedule has been given to Adstar for publishing. Gabriel moved Allison Rushley seconded that we accept the entertainment report. Motion carried.
Elizabeth Hirth reported that Junior Fair sponsorship is approximately $3000 less than 2008 Sponsorship level. Bausch moved Schemrich seconded that we accept the report. Motion approved
Allison Rushley reported that the Advertising committee will be creating public interest stories about the fair. Schemrich moved Conkright seconded that we accept the report motion carried.
Gabriel reported we have received the HCVB sponsorship check. Chick Filla would like to pass out coupons for every paid admission, bring their cow mascot, possibly hand out chicken strips samples, would supply own tables and banners. Board felt we needed at least some monetary support. Krebs moved Allison Rushley seconded that we accept the report motion approved
Gabriel reported Veterinarian contract has been signed
The board discussed the proposed Emergency Action Plan. The sections on animal health and sickness reporting need further review and consideration.
Allison Rushley moved Gabriel seconded that we ask commissioners to pay for drainage repairs and blacktopping in Burke. Motion approved.
Ashley Hull 4-H Teen Council Leader requested approval of a game night Wednesday July 22, 6 to 9 in the activities tent, a square dance Friday July 24 in the activities tent 7 to 10 pm and family friendly music (adult monitored), Brobst moved Walton seconded that we approved Motion carried..
Shade reported that we accepted 75 campers for Junior Fair camp ground and we have a waiting list. Waiting list consists of those without animals and those not getting applications in on time. Schemrich moved Allison Rushley seconded that we accept the report. Motion carried.
OLD BUSINESS:
Shade reported meetings of Quarter Horse Committee are in progress. The request for proposal to find a vendor to complete the study should be issued by May 22 Responses are due by July 6 and a vendor is to be selected by August 1. Allison Rushley moved to accept report Conkright seconded. Motion carried.
Shade reported the committee wishing to build a combined Fair/ Arts building on the fair grounds continues to meet. Some members of Hilliard City Council expressed a negative opinion toward the proposal in the paper. No real substantiation or reasoning for that opinion was presented. Brobst moved Barb Rushley second that we accept the report. Motion carried.
NEW BUSINESS:
Brobst moved Schemrich seconded that we approve proposed contract with DPE for Fair electric services. Motion carried.
Paul Schemrich said we could get a good used set of 10 ton running gears with flotation tires for a new water wagon for $1000. We would need up to $2000 for a new poly tank. Brobst moved Gabriel seconded that we approve up to $2500 to build a new water wagon Motion approved.
Shade requested that the rates and rental committee meeting following this meeting.
Brobst moved Allison Rushley seconded that we adjourn. Motion approved
