FRANKLIN COUNTY AGRICULTURAL SOCIETY

 

MINUTES OF REGULAR MEETING MARCH 10, 2009

 

 

Vice President Gary Dever called the regular March meeting of the Franklin County Agricultural Society to order on March 10, 2009 at 8:00PM in the Secretary’s Office on the Fairgrounds.

 

Roll call showed 16 members present. Those present were Becky Applegett, Jeff Ball, Brian Boggs, David Brobst, Dan Conkright, Molly Davis, Gary Dever, Scott Dever, Roy Hoffman, Jim Krebs, Allison Rushley, Barb Rushley, Paul Schemrich, Tim Shade, Bill Walton, and Dick Witteman. Elizabeth Hirth Junior Fair Board President attended. Melissa Brinkerhoff was a guest.    

 

Ball moved Allison Rushley seconded that the February minutes be approved as submitted. Motion approved.

 

Treasurer’s report was presented by Treasurer David Brobst. Copy attached. Schemrich moved Walton seconded that we accept the Treasurer’s report. Motion carried.

 

Allison Rushley moved Conkright seconded that we pay all bills on hand. Motion carried.

 

SECRETARIES REPORT:

 

Shade made note of fact each Board Member was given a copy of the Board’s Conflict of Interest Policy.

Main water line in new rest room froze when power was out. Old Hilliard called to repair.

London now has a required background check for all workers at fairs and festivals.

OFMA Spring District Meeting March 22 in Washington Ch Shade Brobst and Witteman to attend.

Fair web site has been changed to be fcfair.org. The old web site franklincountyfairgroundsohio.org still works.

 

COMMITTEE REPORTS:

 

Barb Rushley reported that HCVB increased sponsorship to $11.000.00. We will use it to sponsor grandstand and suggests we hire Ricky Linn for Tuesday and Touch for Wednesday. Has contract for After Midnight Band for entertainment tent. Demo Derby rules are published We are going to do the Adstar gate handout again, it will include vendor coupons. Asking for delivery on June 6.

 

Allison Rushley moved Davis seconded that we contract for an ATM machine on the grounds during fair. Machine takes all cards, monitored via phone line, we have to insure, and we pay $1.00 per transaction less than 750. If machine runs out of money and they do not fill it, we do not have to pay fees. Motion carried 10 to 5.

 

Allison Rushley moved that we sign contracts with Ricky Linn, Touch and After Midnight, Walton seconded. Motion approved.

 

Fair premium books are on our web site, each family has been provided a copy on CD.

 

Advertising committee met with Ted from a small Advertising Company. He is willing to assist us with advertising. He can negotiate better deals with TV stations. Suggest we do more strategic targeted advertising.

 

OLD BUSINESS:

 

Shade said Attorney John Haney was working with city of Hilliard to turn over right of way for reconstruction of Northwest Parkway. Latest plan is to do entire route this fall. We will not turn right of way over until final road placement is complete and a firm construction schedule must be put in writing, all conditions agreed to be Hilliard Mayor  Don Schonhardt must be complied with and FCAS will not give right a way for a round-a-bout.

 

Shade presented a proposal from Conklin Roofing Systems to put a Conklin coating on the Burke Building roof. Cost approximately 78K. Allison Rushley moved Schemrich seconded that we repair roof as best we can for this year. Have Ross Roofing fix worst leak and have our crew replace loose screws. Motion approved

 

NEW BUSINESS:

 

Shade presented a potential proposal from a consortium of Hilliard civic groups. These groups would like to form a 501C3, raise funds, and build a multi-use facility on the fair grounds. The building would contain FCAS offices, board room, a 4000 sq ft display hall, a theater, offices for HCVB and many multi-use rooms of various sizes. Similar concept has been done in other location around the state. Much discussion, some positive, some negative, a lot of concerns and issues. Board’s sense was to continue discussion until more concrete information is available.    

 

Brobst moved Ball seconded that we adjourn. Motion approved
