June Meeting

MINUTES OF REGULAR MEETING JUNE 9, 2009

 

President Dick McDermitt called the regular June meeting of the Franklin County Agricultural Society to order on June 9, 2009 at 7:00PM in the Secretary’s Office on the Fairgrounds.

 

Roll call showed 19 members present. Those present were Becky Applegett, Jeff Ball, Rachel Bausch, Brian Boggs, David Brobst, Molly Davis, Gary Dever, Scott Dever, Emily Gabriel, Roger Headlee, Roy Hoffman, Jim Krebs, Dick McDermitt, Allison Rushley, Barb Rushley, Paul Schemrich, Tim Shade, Bill Walton and Dick Witteman. Beth Boomershine Extension Educator was present. Melissa Brinkerhoff was a guest. Elizabeth Hirth represented the Junior Fair Board.    

 

Ball moved A Rushley seconded that the May minutes be approved as submitted. Motion approved.

 

Treasurer’s report was presented by Treasurer David Brobst. Copy attached. G Dever moved Gabriel seconded that we accept the Treasurer’s report. Motion carried.

 

Walton moved Witteman seconded that we pay all bills on hand. Motion carried.

 

SECRETARY’S REPORT:

 

Shade shared a letter and the response to it, that a concerned citizen of Hilliard had written to the Mayor expressing concern over our new fence, landscaping and other improvements. Scott Dever moved Brobst seconded that the secretaries be accepted.  Motion approved.

 

COMMITTEE REPORTS:

 

Barb Rushley reported for the Entertainment Committee, that the Adstar handout publication is delayed due to the company having problems obtaining sponsorships. They are now expected June 20. We still need a camper for Rocky Linn to use as a dressing room. She also routed a sign up sheet for Board member help to run events. A frames and banners are being updated. Barb said our PR person Sara ran a red flag up on our Elephant act, due to PETA concerns. We ask all animal acts to provide APHIS license and copies of recent DA inspections and at least 3 references. We have all materials, except items from the Great Little Bear Act.  All references were checked and provided stellar feedback on all acts.

 

Junior Fair is in the process of doing data entry. No FFA entries were received.  Barb said she called Cindy Brill and Dave called the school principle to ask why, but calls were not returned.  Pen set up Saturday July 11. We have 28 goats and may need additional pens. Received only 1 Fair King candidate entry, hence there will not be a fair king contest.   Gabriel moved A Rushley seconded that we accept Barbs reports. Motion approved.

 

Allison reported for Advertising committee. Allison or Tim Shade will be media on TV person, while Sara will give us a script and professional advice. Melissa passed out a post card that we will pass out to advertise fair at local parades. There will be an article in Northwest News on the Teen Idol Contest.   Brobst moved S Dever seconded that we accept the reports. Motion approved 

 

Emily reported on sponsorship.  T Mobile would like to trade outdoor vendor space and tickets plus announcements we get $500.  Century equipment wants to put name on something for $500 and announcements. Chick Filla is not going to participate. Hooters would like ad in Adstar publication.

 

Emily also reported Veterinarian has signed contract. Mrs. Rings went to ODA training today. She reported that ODA will not do anything with urine samples if we collect goats.    A Rushley moved Bausch seconded that we do not test goats. Motion approved. G Dever moved Schemrich seconded that we accept Emily’s reports. Motion approved.

 

A Rushley moved that we move forward with drainage in Burke and we pay for it if Commissioner’s will not Gabriel seconded Motion approved.

 

Shade reported that we still have 25 campers to pay fees. Gabriel moved that we accept this report A Rushley seconded motion carried.

 

Bausch reported that the fine arts hall needs repair. Shade said his crew would repair the ceiling.

 

OLD BUSINESS :

 

Shade said things were getting to the point with the possible joint FCAS/ Hilliard Arts building that the board needs to affirm that we are interested in participating or clearly say that we were not interested.  Brobst moved that as long as we get a fair shake in the agreement we should go through this joint venture. Gabriel seconded.  Motion approved

 

Shade reported the new running gears for a water wagon have been purchased. Jim Krebs obtained a donated 1600 gallon plastic tank. Jim also donated an old wagon bed; Paul Schemrich put new wood on the bed.

 

Brobst moved G Dever seconded that we sell at auction the boat and camper that we obtained for lack of storage payments.  Motion approved 

 

NEW BUSINESS:

 

Brobst moved A Rushley seconded that we use the Sheriff Auxiliary to patrol Norwich Township parking lot and they are not available use Hilliard Police.  Motion approved 

 

Shade said our annual Insurance renewal would be $38401.18   Walton motioned we accept the proposal G Dever seconded.  Motion approved

 

Davis moved that we rent hand washing stations for fair Gabriel seconded motion approved

Witteman said Motor cross will be June 19 and we need board members to help 

 

A Rushley moved S Dever seconded that we purchase each board member 3 new shirts.  Motion approved 

 

Beth Boomershine requested 4-H Advisory Committee be allowed to serve pork loin  dinner at fair for fund raiser  Brobst moved S Dever seconded approval of event. Motion approved

 

 Schemrich moved Walton seconded that we adjourn. Motion approved
